Complete guide to the video processing workflow in Glambot Studio Desktop, from file detection to client notification.

Workflow Overview

Glambot Studio Desktop automates the complete video processing pipeline:

  1. File Detection/Import: Automatic import service or manual import
  2. Copying: File copied to project import folder
  3. Transcoding: Video encoding with configured settings
  4. Uploading: Transfer to Cloud Platform
  5. Email Notification: Automatic recipient notification

Each step begins automatically once the previous step completes.


Processing Pipeline

Step 1: File Detection or Import

Files enter the system through:

Step 2: Copying

Once a file is detected or imported:

  1. Copying to the project import folder begins immediately
  2. File appears in the file list once copying completes
  3. Thumbnail is generated
  4. Transcoding begins automatically (if configured)

Step 3: Transcoding

After copying completes, transcoding starts automatically:

Applied Settings:

Progress:

  • Real-time progress bar (0-100%)
  • Estimated time remaining
  • Speed factor (e.g., 2.5x real-time)

Thumbnail Generation:

  • Thumbnail is generated once transcoding starts
  • Click thumbnail to play the video

Step 4: Uploading

Once transcoding completes, uploading begins automatically:

  1. File transfers to Cloud Platform
  2. Upload progress displays current speed and time remaining
  3. Video becomes available on Cloud Platform once complete

Step 5: Email Notification

After upload completes, emails are sent to configured recipients automatically.


Managing Transcodes

Viewing Video Files

File List:

  • Imported files appear with thumbnail
  • Click thumbnail or play button to watch video
  • Most recent transcode plays by default (if multiple exist)

Video Player:

  • Click thumbnail to open video player
  • Use dropdown in upper right corner to select which transcode to play
  • Player shows original file or any completed transcode

Creating a New Transcode

Create additional transcodes from an imported file (e.g., to test different color correction):

Method 1: From file list

  1. Click the plus button next to the file item
  2. Transcoding begins with current project settings

Method 2: From transcode list

  1. Click on the transcode item to open the list
  2. Click the plus button in the transcode list
  3. New transcode is created with current settings

Use Cases:

  • Testing different color grading settings
  • Creating multiple output formats
  • Re-encoding with updated settings

Multiple Transcodes

When multiple transcodes exist for a file:

Viewing:

  • Click the transcode item to list all transcodes
  • Most recent transcode is the default for playback
  • Select specific transcode in video player dropdown

Actions per Transcode:

  • Play: Click play button to watch in video player
  • Upload: Click upload icon to send to Cloud Platform
  • Delete: Remove the transcode
tip

Only one upload per transcode is possible. Once uploaded, the upload icon becomes inactive for that transcode.

Handling Failed Transcodes

If transcoding fails:

  1. Red cross icon appears on the transcode item
  2. Click the red cross to view detailed error message
  3. Fix the issue (settings, file format, etc.)
  4. Create a new transcode with corrected settings

Managing Uploads

Creating Uploads

Automatic Upload:

  • Uploads begin automatically after transcoding completes (if configured)

Manual Upload:

Method 1: From transcode list

  1. Click on the transcode item to open the list
  2. Click the upload icon next to the desired transcode
  3. Upload begins immediately

Method 2: From file item

  1. Click the upload icon next to the file item
  2. Most recent transcode is uploaded

Only one upload per transcode is allowed. You cannot upload the same transcode multiple times.

Upload Actions

View on Cloud Platform:

  • Click the upload item to open video details on Cloud Platform
  • View video information, statistics, and settings

Delete Upload:

  • Remove the upload record from the local list
  • Note: This doesn't delete the video from Cloud Platform

Multiple Uploads

When multiple uploads exist for a file:

  • Click the upload item to list all uploads
  • Each upload corresponds to a specific transcode
  • View which transcode was uploaded and when

Email Recipients

Adding Recipients

Send video notifications to specific people:

  1. Click the mail icon on the file item
  2. Modal opens with recipient options

Option 1: Submissions

  • Select one or multiple submissions from your Cloud project
  • Recipients receive the configured email template

Option 2: Custom Recipients

  • Enter custom name and email address
  • Useful for sending to people not in your submissions

Pending Emails

If you add recipients while upload is in progress:

  1. Email is marked as pending
  2. Once upload completes, email is automatically sent
  3. Recipients receive notification with video link

Workflow Example

Complete Automated Workflow:

  1. SD card inserted into computer
  2. Import service detects card and begins copying files (5 minutes)
  3. Copying completes, transcoding starts automatically (15 minutes)
  4. Transcoding completes, uploading starts automatically (3 minutes)
  5. Upload completes, emails sent to configured recipients automatically

Manual Control Workflow:

  1. Drag and drop video file into application
  2. File copies to import folder (2 minutes)
  3. Create transcode with custom color grading
  4. Preview transcode in video player
  5. Create second transcode with different settings
  6. Manually upload preferred transcode
  7. Add recipients and send notifications

Progress Tracking

File List View

Each imported file shows:

  • Thumbnail: Preview image (generated when transcoding starts)
  • File name: Original file name
  • Status: Copying, Transcoding, Uploading, Complete
  • Progress: Real-time progress bar for active operations

Statistics Panel

Track overall project progress:

  • Imported files: Total count
  • Transcoded files: Completed transcodes
  • Files in progress: Current active operations
  • Files waiting: Queue length

Troubleshooting

File Not Appearing After Import

Possible causes:

  • File still copying (check file size if large)
  • Unsupported file format
  • Insufficient disk space

Solutions:

  • Wait for copying to complete
  • Verify file format is supported
  • Check available disk space

Transcoding Fails

Common issues:

  • Corrupted source file
  • Invalid project settings
  • Insufficient disk space
  • Codec not supported

Solutions:

  • Click red cross for detailed error
  • Verify file plays in other applications
  • Check transcoding settings in Project Settings
  • Ensure sufficient disk space available

Upload Fails

Possible causes:

  • No internet connection
  • Cloud account storage full
  • Large file size

Solutions:

  • Check internet connection
  • Verify Cloud account storage limits
  • Retry upload manually

Video Player Not Working

Issues:

  • Wrong transcode selected
  • Transcode still in progress
  • File corrupted

Solutions:

  • Select different transcode from dropdown
  • Wait for transcoding to complete
  • Check transcode status for errors
